Being transparent and providing accessible information to individuals about how we may use personal data is a key element of the UK Data Protection Act 2018 (DPA) and the EU General Data Protection Regulation (GDPR).  The Department of Health (DoH) is committed to building trust and confidence in our ability to process your personal information.

  1. Why are we processing your personal information and what is our lawful basis for processing?

    We are processing your data to enable us to plan and deliver a Stakeholder Engagement Event as part of the Allied Health Professions Workforce Review Programme.  This processing is necessary for us to carry out a public task in the public interest.  The Department has a statutory duty to secure effective co-ordination of health and personal social services under the Health and Personal Social Services (Northern Ireland) Order 1972 and processing your data will help us to meet our obligations in relation to workforce reviews of the Allied Health Professions (AHPs) in this case.

    Where any sensitive, ‘special category’ data is processed (see point 2 below), we are processing your information for the performance of a public task carried out in the public interest and in the exercise of our official authority as the Department of Health. 
     
  2. What types of personal data are we processing?

    If you are attending the Stakeholder Engagement Event we will process the following personal details:
  • name;
  • position and organisation (if you work or volunteer) or status (if you are a service user/carer);
  • e-mail;
  • telephone number;
  • postal address; and
  • any special requirements to attend the event.

    Some sensitive, or ‘special category', personal data may be processed relating to trade union membership (where that might be inferred from your attendance as a trade union representative) and physical health (where that might be inferred from any special requirements to attend the event).  Service users/carers who submit a travelling expenses claim will need to provide:
  • name;
  • postal address; and
  • expenses details.
  1. Where do we get your personal data from?

    You provide this data to us by registering to participate in the Stakeholder Engagement Event.  Service users/carers who submit a travelling expenses claim will provide the personal data noted above as part of their expenses claim.
  1. Do we share your personal data with anyone else?

    Service user/carer data provided as part of expense claims may be shared with staff in the Department’s Nursing, Midwifery and AHP Directorate to enable your payment to be made.  Where necessary, appropriate personal data may be shared as part of Departmental audits, but this will always be done in line with GDPR and DPA 2018. 
  1. Do we transfer your personal data to other countries?

    No. 
     
  2. How do you use my personal data to make decisions about me?

    There is no automated decision making in relation to the processing of the personal data you provide.  Travelling expenses claims from service users/carers will be checked to ensure mileage, fares and other expenses data provided are accurate before claims are approved for payment.
     
  3. How long will we keep your personal data?

    The Department will ensure compliance with Article 5(d) and (e) of the General Data Protection Regulation which requires that personal data is erased without delay when no longer required and stored for only as long as necessary for the purpose for which it was collected.  Effective management of records from when they are created, how they are stored and used, through to their disposal or archive is in place.  The destruction of records is determined by the Department’s approved retention policy, Good Management, Good Records (GMGR).
